What we collect
When you browse this website
This website does not use analytics, advertising or tracking cookies, and we don’t build profiles of visitors. Like all websites, our hosting provider keeps standard server logs (such as IP address, browser type and pages requested) for security and to keep the site running. These logs are kept for a limited time and are not used to identify you.
Our fonts are provided by Adobe Fonts, which receives basic technical information (such as your IP address and the page being viewed) when it delivers them. Adobe uses this for font licensing and does not set cookies on our site. See Adobe’s privacy policy for more.
When you book
Online bookings are handled by our booking partner, Booked It, at bookings.roomwesthoughton.co.uk. When you book, you provide details such as your name, contact details, booking details and payment information to Booked It. Payment card details are processed securely by the booking and payment providers; we never see your full card number. Booked It’s own privacy policy explains how they handle your data.
When you call, message or visit us
If you phone, message us on social media or book in person, we’ll use the details you give us (such as your name, phone number and booking requirements) to manage your booking and answer your questions.
Why we use your information
- To take, manage and confirm bookings (performing our contract with you)
- To answer enquiries and look after you on the day (our legitimate interests)
- To keep our website secure and working (our legitimate interests)
- To meet legal obligations, such as licensing and safety requirements
We don’t sell your information, and we won’t send you marketing unless you’ve asked us to.

How long we keep it
We keep booking information only as long as we need it to run your booking and meet our legal and accounting obligations, then delete it.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how we use it, and to data portability. To make a request, contact us using the details below. We’ll respond within one month.
If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We’d appreciate the chance to put things right first.
Photos and videos you send us
If you use the “Show us your ROOM” form, we collect your name, email address, the date of your visit, any photos, video links and message you send, and your confirmation that you agree to our terms. We use these to review your submission and, if it’s approved, to publish it with your agreement. Our lawful basis is your consent, which you can withdraw at any time by contacting us.
Submissions are reviewed by ROOM and by our website provider, who manages the website on our behalf. Submissions we don’t use are deleted within 90 days. Photos we do use are kept for as long as they appear on our website or social media. See our Terms of Use for the full details.
